7 repetitive tasks you should automate first in your business

Customer follow-ups, invoicing, data entry: here are the simplest automations to set up, and the ones that save a small business the most time.

Why start with small repetitive tasks

Automation often brings to mind large-scale technology projects, but in practice, the fastest and most measurable gains almost always come from small repetitive tasks: the ones you or your team redo every day or every week, with little added value each time, but which add up to several hours a month. These are also the simplest and least expensive automations to set up, since they generally don't require complex development — just the right connections between the tools you already use.

1. Customer and prospect follow-ups

Following up on a quote that's gone unanswered, chasing an unpaid invoice, or reconnecting with a prospect who's been inactive for several weeks: these are essential tasks that are easy to forget in the flow of daily work. A simple automation can send these follow-ups at the right time, with a personalized message, with no manual intervention required — while still letting your team step back in as soon as a reply comes in.

2, 3 and 4. Invoicing, data entry and tool synchronization

Generating and sending invoices from a confirmed order or quote can be fully automated, reducing entry errors and payment delays. Entering data across multiple tools — for example, copying information from a contact form into a CRM or spreadsheet — is one of the simplest automations to set up and one of the most liberating in daily practice. Finally, synchronizing your tools (calendar, CRM, invoicing, email marketing) avoids double entries and inconsistencies between systems that always end up costing time to fix.

5, 6 and 7. Notifications, reporting and review requests

Receiving an automatic notification as soon as an important event occurs (new order, form submitted, low stock) lets you react faster without manually monitoring several tools. Automatically generating regular activity reports (sales, leads, performance) saves considerable time compared to compiling them manually every week or month. Finally, automatically sending a review request after a service is delivered, at the right moment, improves your online visibility with no extra effort from your team.

Where to start in practice

Rather than automating everything at once, the best approach is to identify the task that takes the most time or is most often forgotten, and automate just that one task first. Once the result is validated and the team feels comfortable, you can move on to the next one. At BYU Digital Consulting, we always start with a quick review of your current tools and processes, to identify the automations that will deliver the most value with the least complexity to implement.
